Your Department
The Central Europe Institute (CEI), as part of AJC's International Offices, connects international communities with AJC’s global advocacy work to enhance the well-being of the Jewish people and Israel. They maintain the agency's overseas presence by connecting with key world leaders, enhancing the organization’s influence with other key local, national, and international decision makers and stakeholders, implementing advocacy initiatives and establishing and nurturing relationships with the local Jewish communities.
Your Impact
Support the execution of the Warsaw office's strategy, goals, objectives, and action plans by completing a variety of administrative tasks
Coordinate logistics and communications for events, meetings, trainings, missions, and other projects
Assist with the planning and implementation of research projects
Maintain calendars and schedule meetings
Arrange complex and detailed travel plans, itineraries, and agendas (via Egencia)
Enter updates and edits into AJC’s CRM and other data bases
Procure and manage office supplies and equipment
Take notes at meetings with internal and external stakeholders
Organize and maintain department documentation files
Maintain the department's contacts and mailing lists
Execute departmental reporting and tracking (e.g., financial reports, budgets, expenses, program updates, donor contributions, contracts)
Respond timely to inquiries and requests from internal and external stakeholders
Prepare and disseminate group mailings
Coordinate external communications, as directed.
Serve as liaison with the property manager, vendors, and service providers
Procure and manage office supplies and equipment
Implement and maintain office policies and procedures
Support onboarding of new employees and interns, as directed
Coordinate with AJC’s IT, HR and legal departments
Coordinate with external accountants and provide necessary documentation (managing the office payments, basic HR issues and accounting; ongoing supervision of accounting documents/invoices, bills, sending accounting documentation to the accounting office)
Process invoices and bills and track payments
Support payroll processing and process staff expense reports (via Concur)

Bachelor's degree or equivalent experience
Minimum 1 to 3 years’ experience

Compensation
The salary for this position is 8,500 to 9,000 PLN per month depending on relevant experience.
