Instructions for creating a signature in MS Outlook for AJC 2011 Global Forum
Download the Word document with a sample of the 2011 Global Forum email signature. [Click Here to Download]
Replace the existing name, title, office, website, phone number, email address, and social media sites.
NOTE: DO NOT cut and paste into these fields as this may alter the format. Instead, just type over the existing information.
You may alter the existing hyperlinks to area office, email address, and promotional information by right-clicking on the link in the template and selecting “edit hyperlink.” Change the text in the “Text to display” box on top and the address in the “Address” box in the bottom of the window to reflect the information relevant to you and then click “OK.”
Highlight the entire signature and copy it by going to the “Edit” menu and selecting “Copy” or by holding down the “Ctrl” key and pressing the “C” key.
In Outlook, go to the “Tools” menu and select “Options.” The screen should look like this:
Click on the “Mail Format” tab at the top of this box.
Then click the “Signatures” button at the bottom of this box.
Click the “New” button on the right side of the box.
Enter a name for your signature and make sure “Start with a blank signature” is selected as above. Click the “Next” button.
Click the “Advanced Edit” button on the right and you will see the following message:
Click “Yes” and a new blank document will open in MS Word.
Go to the “Edit” menu and select “Paste” or simply hold the “Ctrl” key and press the “V” key.
Save and close the document. Returning to Outlook, you will now see your new signature in the list. Do not be alarmed if it doesn’t look right in the preview box.
Click “OK” and you will be back in the “Mail Format” tab of the “Options” box.
In the “Signatures” section of the “Options” box (in the lower third of the box), select your new signature for new messages and replies\forwards according to your preference. Click “OK.”
Congratulations, you have now created a new signature! Open a new message to make sure it looks correct.
