Responsibilities Include:
  • Provide detailed administrative support to Director of Planned Giving including processing paperwork, phone, and email communications with donors, attorneys and with AJC Staff.
  • Coordinate planned gift administration, including updating planned giving donor and prospects files and maintaining master list of planned giving donors.
  • Assisting with initiatives for the planned giving donor recognition society, drafting acknowledgement letters to planned giving donors.
  • Detailed work relating to charitable trust and estate matters for the organization; including maintaining schedule of estates/trusts in probate/administration and composing correspondence to attorneys and executors/trustees.
  • Assist Director in the preparation of planned gift proposals and drafting of charitable planned gift agreements.
  • Work closely with Director on the administration and promotion of all aspects of the Charitable Gift Annuity program
  • Assist in the planning and coordination of internal meetings and AJC committee meetings, and set up quarterly conference call briefings for planned giving donors.
  • Proficiency with Raiser’s Edge and Planned Giving software.
  • Research and preparation of donor reports, queries, and exports from donor database.
  • Assist Director with the development and preparation of marketing materials and special mailings to support AJC’s Planned Giving Program.
  • Assist Director with donor relations; serve as liaison to lay leaders and to members of AJC National Planned Giving Committees and related Investment Subcommittee.
  • Attend and participate in select Development evening events as requested by the AJC National Director of Development.
  • Attend departmental Development staff meetings.
Qualifications:
  • Very detail oriented and organized.
  • He/she will have excellent written and verbal communication skills, administrative skills and proof reading skills.
  • Ability to multi-task and enjoy challenging work.
  • Be a team player with a sound work ethic.
  • Passion for the mission of AJC is a plus.
  • Interest in an opportunity to learn about the planned giving and development fields is a plus.
  • A bachelor’s degree and/or paralegal certificate preferred.
  • Proficient in Word, Outlook, and Excel.
  • Experience with donor data base software and/or not for profit experience a plus.
